Why landlords check tenants before signing
- Court cases across India, pending and disposed, such as an old rent dispute, cheque bounce or cheating case, show up before you sign.
- Published news stories that name the tenant surface things a reference call or a polite first meeting will not.
- Public social profiles help you see whether the person's story about their work and city holds together.
- No documents, ID numbers or OTP needed from the tenant, so you can check quietly before you accept any token amount.
- ₹99 per report, ready in about 5 minutes and saved in My Reports, so a co-owner or family member can read it too.
- Renting out a flat, independent house or PG room to someone found through a broker or listing site
- A couple or a group of flatmates who want to move in this weekend
- A tenant offering a cash token on the spot before the agreement is drafted
- Letting out a flat in another city that you cannot visit often
- A company lease where the person living in the flat is not the one signing
- Renewing an agreement with a tenant you still know little about
- 1
Collect ID and address proof from every adult
Ask for one photo ID, such as Aadhaar, voter ID, passport or driving licence, plus permanent address proof for each adult who will live there. See the originals yourself and take signed copies before any token changes hands.
- 2
Call references on numbers you find yourself
Ask the previous landlord about rent, damage and whether they would rent to this person again. Confirm the job through the employer's main number on its official website, not a number the tenant hands you.
- 3
Check public records before you accept a token
Run a fraudcheck.ai report with the tenant's full name, father's or husband's name and city. If a court case appears, read what kind it is: a civil property dispute is very different from a cheating case.
- 4
Put every term in a written rent agreement
Name every adult occupant and set out the rent, deposit, notice period, lock-in, maintenance, sub-letting and how the deposit comes back. Students and first-time renters can name a parent or guarantor.
- 5
Register the agreement where your state requires it
Under the Registration Act, 1908, leases longer than one year must be registered, which is why many agreements run for 11 months. Maharashtra requires leave and licence agreements of any length to be registered, by the landlord. Check stamp duty with your state's registration department.
- 6
Complete tenant police verification
In many cities, police orders make reporting tenant details the landlord's duty, often within a set number of days. Apply on your state or city police citizen portal, or at the police station covering the property, and keep the acknowledgement.
- 7
Keep one file for the tenancy
Store the agreement, document copies and police acknowledgement together, and never post tenant documents in a building WhatsApp group. If you decide not to go ahead, return any token by bank transfer so there is a record.
- Photo ID for each adult occupant, so you know exactly who is living in your flat
- Permanent address proof, which police verification uses to know where the tenant comes from
- Recent passport-size photographs, which most police verification forms ask for
- Previous landlord's name and number, to ask about rent history and how they left
- Offer letter, employee ID, GST certificate or college ID, to confirm work or study
- An emergency contact, in case you cannot reach the tenant
- Full name, father's or husband's name and current city, for the background check
- A parent's or guarantor's details for students and first-time renters with no landlord reference
- Pressure to close the deal the same day, or a large cash token before anyone has read the agreement
- Reluctance to share ID or a permanent address, or documents where names, addresses or dates of birth do not match
- An offer to pay several months' rent upfront in cash, with little interest in the agreement itself
- Vague answers about who will actually live in the flat, or extra people arriving on moving day
- An employer you cannot find online, or only a personal mobile number given as the office contact
- A request to scan a QR code or approve a UPI request so you can 'receive' their token. You never need your PIN to receive money.
